We are looking for an exceptionally bright, multi-tasking and self-motivated Senior Operations Coordinator to directly support the IVY team across all 7 offices nationally. This role requires attention to detail, the ability to meet tight deadlines, efficient organizational skills, and the ability to switch gears at a moment's notice. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with C-level Executives. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action when necessary.


As IVY's Senior Operations Coordinator you will be wearing many hats, working cross-functionally to create a productive, healthy, and fun work environment. We’re looking for a jack-of-all-trades to take on the responsibilities below:

  • Manage, sort, and organize incoming mail/packages and distribute to employees
  • Oversee all purchasing for the office to ensure snacks, beverages, and other supplies are always fully stocked
  • Manage the overall operational, budgetary, and financial responsibilities of all seven IVY offices
  • Serve as primary liaison for outside vendors
  • Coordinate cleaning services and maintain a safe, clean, organized office
  • Proactively seek ways to streamline office processes and leverage best practices
  • Help locate and move offices when required and any office reconfigurations or changes
  • Help in executing social events for all seven IVY offices nationwide (e.g., holiday parties, team outings, happy hours, team lunches etc.)
  • Set up weekly all-hands meetings
  • Collaborate with People Ops in onboarding process for new employees and other projects as needed
  • Lend support to the overall team; handle additional projects with the Executive Assistant as needed


  • 3 - 5 years experience in a similar role, preferably in a startup environment
  • A Bachelor’s Degree is required
  • Strong organizational skills
  • Ability to manage multiple projects simultaneously
